Photo ID Pool Passes

    Each family will have a preset number of guests that is part of their account. You can still go into the HOA to purchase more but there will no longer be a card that you need to remeber to hold on to. When you come to the desk and swipe your card once your account comes up the guard will be able to then sign in your guests. If you do still have guests left over from last years guest pass you will be able to take that to the desk and have them punch them this year. After this year everything will be electronic.
    We are hoping at some point in time in the near future you will be able to actually go on the Broadlands website and buy additional guest passes there so that you no longer have to get to the HOA offices during there normal hours and make the process even easier for the homeowner.

    If you'd like more information behind why we're doing this, feel free to give me a call. I don't feel like banging it all out on the keyboard.
    You are correct in that it takes the pool employees doing their job to make it effective.
    But let me ask you this....Would you try and use somebody else's pool pass if the face on the card clearly did not match your own? This fact alone will more than likely stop a lot of the abuse.
    It's ok to dissent with HOA Board decisions. That's your right.

    Guest passes will still be used. The guest would have to be with a resident with a valid photo id pass.

    I do not want others gathering to my defense this is something that I believe will solve a lot of the problems that have been brought to the HOA's attention, but you are right it is only as good as the teens that are working the desk and the members that are using the pool. However the very nature that there is now a picture on the card as well as in the computer should discourage people from abusing. People are alot less likely to just hand their card to their son or daughters friend and say ahh just use this if there is a picture attached. Do I think this is going to solve all the problems. I wold be a fool if I did. However the current system is obviously not working as you well pointed out so doing the samething is no longer an option. This system has solved similar problems that at Stone Bridge community so I am hopfull it will work here as well.
    And if the probelm is the people working the front desk then it maybe time to get another company in here and really shake things up.
    Softballchick I wold be very happy to discuss with you your concerns so I can do what I can be proactive rather then reacitve

    Thanks to Staci and the HOA board! I think you made a good decision on the passes. One of the main reasons we chose to buy in Broadlands is the amenities and the pools are very important to our family. I think you have done a good job running them and appreciate your efforts to ensure that they are primarily for the benefit of our members.

    Photo ID Pool Pass Update

    Thanks to all residents who acted quickly and got their 2007 Pool Pass applications to the Nature Center in a timely manner. Now it is time for Step Two.

    On February 20th, residents who had submitted their application by February 6th can begin scheduling their appointments to get their photos taken and their pool passes processed. Applications must be received at the Nature Center 14 days prior to scheduling a photo appointment so your information can be entered into the new system. Appointment slots are available Monday through Friday from 10am to 4pm. Additionally, residents will be able to schedule appointments on Thursday evenings between 5 and 7 pm and the 2nd and 4th Saturday of the month between 9 and 11 am.

    Pool passes will be issued to each individual aged 5 and up living in the household. A household consists of all persons permanently living in the dwelling and any unmarried children who are students and/or from a previous marriage and who will be residing with the owner for the summer.

    Renters must have the owner of the property sign the application transferring their pool privileges to the tenant.

    All adults over the age of 18 must show a photo ID and proof of address at the time their photo appointment.

    Photos will not be taken and the appointment will need to be rescheduled if acceptable proof of identity and address are not available.

    Acceptable photo IDs include:
    • Driver’s License
    • School, Military or Work Photo ID
    • State Issued Non-Driver Photo ID
    • Current Passport
    • Current Resident Alien Photo ID

    Acceptable Proof of Address include:
    • Payroll Stub issued within the last 60 days
    • 2006 W-2 or 1099
    • Original Bank Statement issued within the last 60 days
    • Utility bill issued within the last 60 days
    • Current Virginia Voter Registration Card
    • Settlement Papers or Deed
    • Current Homeowners Insurance Policy

    Non-resident caregivers are able to obtain a pass for $40 for the season. They should be noted as non-resident caregivers on the resident’s application. The fee must be paid at the time their photo is taken and the pass issued. The resident must accompany the care giver to the photo session and show proof of identity and address.

    Up to 5 long term house guests may obtain pool passes for $40 per person for the season or $15 per person for a month (30 consecutive days) or $5 per person for seven consecutive days. The must be noted as non-resident house guests on the resident’s application. The fees must be paid at the time their photo is taken and the pass issued. The resident must accompany the guests to the photo session and show proof of identity and address.

    Ten guest passes are allocated to each residence. Additional guest passes, good for 10 visits may be purchased for $20. Guest passes are added to the electronic account. No physical pass will be issued. Guests must be accompanied by a pool pass holder to gain admittance to the pool facility. In addition to the 2007 electronic guest passes, 2006 guest passes may be used during the 2007 season. No other guest passes will be honored.

    Wouldn't the driver's license also serve as proof of address as well??

    Yes, a driver's license proves identity and address...but if you have an ID without an adress, like a passport, you will need additional documentation to prove your address.

    If we missed the application deadline and want to drop off ASAP what is the plan to get an appointment time for pics?

    There is no application deadline. You can make an appointment 14 days after you get your application to the Nature Center.

    and don't forget, VA DMV does not require you to get a new driver's license each time you move, you just have to notify them in writing and change it officiallly in their records... thus my legal driver's license has my old address on it, but is my current license. So not as simple in some cases.

    don't you get a card matching your new address though? Not a new license.. a card that goes with your license?

    I know I did when I moved to Broadlands initially !! Came in handy one traffic stop :(

    From the VA DMV website..."You have thirty (30) days from the date of your move to notify DMV of your address change. You can request an address card showing your new address at no fee that you must carry with your license. Or you can purchase a new driver's license with your new address online or in person."
    Therefore, your license and the change of a address card issued by the DMV would be necessary as proof of address and identity.

    If I recall, they send that change of address card out to you as a postcard, and you cut out the business card size section and keep it with your license. I had one for a couple years until my license came up for renewal.

    Question: I understand that with the new pool passes everyone will have their card scanned when they enter the pool, but will they have it scanned when they leave as well?

    Here's a question. I have two college age girls who live in another state during school year, so their driver's licenses do not have our Broadland's address on it. Additionally, it looks like at least one, maybe both girls won't be coming home for spring break. One might not even come home until the middle of summer. Are there going to be accomodations for these kinds of quirky cases? Will the pictures need to be retaken every single year?

    Cards will be scanned on both entry and exit...Residents can have their pictures taken at anytime during the pool season, so college students will be able to have their pictures taken when they come home from school. If the students are over 18 they will need some form of ID with their picture... for instance a school ID... and something showing their address in Broadlands such as a payroll stub, a W-2,a bank statement or a voter registration card.
    Pictures will not be re-taken every year. Adults should not need a new card for 5 years, children probably every 3 until they are 18.
