New HOA pmt address

    I have BoA and I think in the past they have always cut a check and mailed it (hah), but now it appears to be finally electronic (no address, next business day payment speed)... I suppose I should confirm they are getting the payments... will finally sign up for Armstrong Connect!

    I don't remember getting a new coupon book, either. And I certainly didn't notice a new address. Good thing my forum reading can make up for not having my life together...

    BTW - the HOA website still has the old address - might want to update that.

    Thanks, I corrected the info on the website. That page also shows a link to Armstrong Management's website where a notice is posted about the address change.

    Additionally, the change was publicized in the HOA newsletters sent to every resident, as well as the coupon books. You may want to spend a few extra minutes looking through the newsletters when they arrive in your mailbox, as it's considered the official form of communication between the HOA and the residents. As for the coupon book, it was mailed to every resident; if you did not receive it, I suggest you contact Armstrong Management to make sure they have your correct address information. Otherwise, look through any old mail you may have set aside to sort through later.

    I made the address change last month on my payment and this week I got a notice saying I was 2 months behind. This is just ridiculous.:angryfire:

    When did you send them in? Did you remember that the payment is due on the 1st of the month and send it in before that date (or were you shooting for the 10th, the last grace period day)? On what dates were your check payments deposited?

    This next comment is not directed to you, but is a general comment. There are many folks who purposely send their payment in so that it arrives by the 10th instead of the 1st, trying to take advantage of the 'grace period'. Honestly, I don't understand folks who do this and then complain that their payment was considered late because it wasn't received on time. Not sure what people's motive is; I've heard some folks say that they want to maximize their interest on the money. I don't know where those folks keep their money where an extra 7-10 days of interest on less than $100 is worth all the risks and hassles...

    Why are people still mailing stuff around? :) Also, the HOA should stop wasting money on making and mailing envelopes to people who pay electronically... it's a huge waste.... put it towards Broadlands Live or something.

    We pay close to $17000 (!!) for coupons (and I'm not sure if that includes postage)... if 30% of people pay electronically yet we still print out coupons for everyone, we could save $5k or more.

    Just my 0.02 =)

    I think Ashburn Village does this now. In fact, if you try to pay with a check they charge a $25 service fee!

    Excellent point. I dont use them at all either. Is there a way we can get armstrong to stop sending it to us? (At least us folks that dont use them?)

    Per the governing documents, bills must be sent to the owner in writing; however if you sign up for direct debit with Armstrong you will not be sent coupons because you have signed an agreement for the payments to be automatically deducted from your account, therefore acknowledging that you have been notified of the liability to pay the assessment.     Where is this? Couldn't find it in Section 6 of the Declaration, which is where most of the assessment language is.
    The governing documents might state that a "bill" must be sent in writing, but does it require coupon books? I don't think it goes into detail about how/what type of payments are allowed.

    Yes, the coupon is considered a "bill".

    I would not interpret a section entitled "Notices", and lists a string of things (one of which is a bill) to be interpreted as meaning "each monthly payment shall have a paper document method of payment".
    To me, a bill simply means notification of amount owed and where to send payment.

    The Board has the discretion to determine how and when this bill is paid.
    Article 4, Section 4.1 (14) states:
    "Adopt an annual budget and make assessments against the Owners to defray the Common expenses of the Association, establish the means and methods of collecting such assessments from the Owners and establish the period of the installment payments, if any, of the annual assessment for Common Expenses.

    It's 2012, I think it may be time to make some updates to match 90's technology :)... can't email be considered "writing"? I would also run a report of people who have paid electronically in the past x sequential months and opt all those people out of bills/coupons/mailings before they are printed up each year (make them sign up to Armstrong Connect and electronically sign an opt out perhaps). I like to be in control of sending money out vs have 15 agreements and having to keep track of them and which day they'll come out of my account. Also, I don't even have checks anymore, and the current plan seems to not trust us that we know our ACH/account numbers and require a voided check.... I think that part could be on the web site as well (update bank account info).

    Not a sermon, just a though 8)

    I called the office and they said they had my payments already. There was no late filing at all. They gave me a story about this was all the banks fault because of the timing of the address change. Whatever. If they had my payments, why did they say I was two months late then?
