Need Help! Admin Assistant - Part-Time

    Small HOA management office requires an administrative assistant to facilitate the efficient operation of the office. This person will support managers and employees through a variety of tasks related to the organization. This is a permanent, part-time position located in Ashburn, Virginia.

    Excellent communication and organizational skills are a must. Applicant will receive calls from homeowners and board members and must be capable of listening closely to their questions and needs, be able to assist the caller or able to forward the call to the appropriate person. Diplomacy, tact and professionalism are essential traits required. Applicant must be proactive in meeting deadlines and pay close attention to detail to ensure that work product is thorough and accurate.

    Duties include:

    1. Meet and greet visitors to the office
    2. Answer and direct phone calls
    3. Organize and schedule meetings and appointment
    4. Maintain various contact lists
    5. Receive, sort and distribute mail
    6. Coordinate and manage all mass mailings
    7. Order office supplies
    8. Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories
    9. Prepare postage & copier reports at end of month
    10. Format newsletters, bulletin, notices for distribution
    11. Photocopy and print out documents on behalf of other colleagues
    12. Police office for cleanliness – schedule janitorial or maintenance services


    1. Must be a high school graduate with a minimum of 3 years administrative experience
    2. Demonstrate strong written and verbal communication skills
    3. Possess strong organization and planning skills
    4. Be proficient in MS Office (including word, publisher and excel)
    5. Work experience must demonstrate the ability to manage the administrative needs of the office and function as a team player.


    1. Hours are 9:00-2:00 Monday through Friday
    2. Paid holidays
    3. Two weeks paid personal leave
    4. ‘Family’ first work environment (if not abused)
    5. Salary commensurate with experience
